Job Description
Responsible for supporting high-level executives and management or entire departments. Provides administrative support and performs numerous duties, including scheduling, writing correspondence, emailing, handling visitors, routing callers, and answering questions and requests.
Requirements and Responsibilities
Diploma in Secretarial Studies or any other related field from an accredited institute with minimum of four (4) years’ experience working as secretary in an executive office (Essential).OR, Bachelor’s Degree in Managerial Studies, Office Management or related field from an accredited university with minimum of two (2) years’ experience working as secretary in an executive office preferably in a healthcare facility/hospital setting (Desirable)
Responsible for all secretarial duties including typing and distribution of all correspondence reports and records relating to department’s maintaining the highest level of confidentiality
Answers, screens and refers telephone calls. Handles routine inquiries.
Established and implements a systematic filing system for all documents, records and correspondence maintained in the department
Maintains electronic calendar for scheduling all meeting and reserving/booking conference rooms/venue for department head and other superiors.
Receives and screens all personnel, visitors. Ensures office equipment is running well and maintained.
Maintains inventory and order office supplies. Ensures office equipment is running well and maintained.
Responsible for the over-all appearance of the department. Act as the Office Manager.
Responsible for the production of accurate monthly statistics received from all departments and prepare the consolidated report for the department head.
Records, maintains and distributes minutes of meetings and assist in a variety of administrative duties.
Creates clear, articulate correspondence on behalf of the department
Performs all duties in a professional, effective and confidential manner.
Performs all other related duties as required or assigned.
