Job Description
|
Organizing leave schedules for staff in collaboration with department head. |
|
Responsible for the receipt, transcription, and distribution of correspondence, reports while maintaining a high level of confidentiality. |
|
Establishes, implements, and maintains a filing system for all correspondence, departmental operating procedures, and other administrative records. |
|
Reviews documentation to ensure its appropriateness. |
|
Assists in a variety of minor executive duties as requested by the Department head. |
|
Assists the Director in preparing correspondence, reports, department budget, and other documents. |
|
Arranges for outgoing mail and packages to be picked up. |
|
Responsible for keeping sick leave, annual leave, competency requirements, mandatory education requirements, etc. |
|
Answers and directs all incoming calls. Receives and relays messages. |
|
Greet and receives visitors and directs the general public to appropriate staff members. |
|
Arranges and coordinates committees, meetings and venue. |
|
Records the minutes of the Department Management meetings and staff meetings. |
|
Manages travel and schedule, as required. |
|
Performs all duties in a professional, effective and confidential manner. |
|
Performs all other related duties as required or assigned. |
Requirements and Responsibilities
Two (2) years Diploma in Hospital/ Business/ Public Administration, Secretarial studies or equivalent from an accredited institute (Essential).
